Refund Policy
Effective and last updated: 28 October 2026
1. Scope
This Refund Policy applies to every payment made to LeafOne IT Solutions Private Limited(“LeafOne”, “we”, “us”) for our services — custom software, web and mobile applications, websites, e-commerce, cloud and hosting, digital marketing, branding, annual maintenance (AMC) and consultancy — whether paid by a Razorpay payment link, card, UPI, net banking or bank transfer.
We provide professional services, not physical goods. Where a signed proposal, statement of work or agreement (“Proposal”) states different refund terms, the Proposal prevails for that engagement. This policy should be read with our Terms & Conditions and Cancellation Policy.
2. The general rule
Fees are paid for professional time and work. Amounts paid for work that has been performed, delivered or approved are not refundable, except where this policy or your Proposal expressly says otherwise. Refunds are always calculated on what has been paid less the value of work performed and costs already incurred on your behalf.
3. When you are entitled to a refund
- We cannot deliver. If we terminate a project because we are unable to complete the agreed services, we refund in full every amount paid for work not delivered.
- Satisfaction guarantee (where your Proposal includes it). If agreed in-scope features do not meet the agreed requirements, we will rework them within fifteen (15) days of your written notice. If, after that rework, we are still unable to meet them, the amount paid for those features is refunded.
- Cancellation before work begins. If you cancel in writing after paying an advance but before any work has started, the advance is refunded less any third-party costs we have already committed on your behalf (for example a domain or a software licence bought for your project).
- Cancellation during a project. If the engagement ends under our Cancellation Policy, any amount you have paid in excess of the value of work performed up to the effective date of cancellation is refunded.
- Duplicate or excess payment. A payment made twice, or more than the amount invoiced, is refunded in full or, at your choice, adjusted against your next invoice.
- Payment against a cancelled invoice or proforma. Refunded in full.
4. What is not refundable
- Work performed, delivered, or approved by you — including completed milestones, designs, documents and code.
- Third-party costs paid on your behalf: domain registrations and renewals, hosting and cloud charges, software or plugin licences, app store fees, SMS or email credits, stock media, and advertising spend paid to platforms such as Google or Meta.
- Hosting, AMC, retainer or subscription fees for a period that has already begun.
- Fees for consultation, discovery, workshops or meetings already held.
- Delays or changes caused by you — late content, approvals, access or feedback — do not by themselves create a right to a refund.
- Work stopped because the requested product or feature would be unlawful. In that case any refund follows the directions of the relevant authority.
5. How to request a refund
Write to hello@leafone.in from the email address registered with your project, with:
- your name, company and project code or proposal reference;
- the invoice or proforma number, and the payment reference (Razorpay payment ID or bank UTR);
- the amount and the reason for the request.
Please request a refund within thirty (30) days of the event giving rise to it.
6. Review, approval and payment
- We acknowledge your request within two (2) working days and decide it within seven (7) working days, telling you in writing how the amount was calculated.
- Approved refunds are processed within thirty (30) days of approval.
- Refunds are made to the original payment method. A payment made through Razorpay is refunded through Razorpay to the same card, UPI account or bank account; your bank may take a further 5–7 working days to show the credit. A bank transfer is refunded to the account it came from.
- Where a tax invoice has been issued, a GST credit note is issued with the refund.
- We do not charge any fee for processing a refund that is owed because of our failure.
7. Chargebacks and disputes
Please contact us before raising a dispute or chargeback with your bank or card issuer — most issues are resolved faster directly. A chargeback raised for a payment for services that were delivered may lead us to suspend further work and to provide the bank with the Proposal, invoices and delivery records.
8. Contact and grievances
Questions about refunds: hello@leafone.in. If you are not satisfied with how a request was handled, write to our Grievance Officer, Harikrishnan P V, Director, at the same address; we respond within fifteen (15) days.
